BUILT AROUND YOUR WORK.

Bring the session schedule and the people delivering it into one view. Working hours and absences feed into online availability, while automatic assignments give staff a starting point that administrators can adjust for the realities of the day.

  1. 01

    Set studio and team availability

Add opening hours, booking capacity, individual working hours and time off.

  2. 02

    Connect bookings to staff

Check capacity as bookings arrive and assign available team members, then make adjustments when needed.

  3. 03

    Plan the day together

Use the monthly calendar and staff day view to see sessions, closures and absences.

01

Admin and help between sessions.

Keep the next action accessible on a phone.

Studio admin is an installable PWA. On iPhone, add it to the Home Screen before enabling push. It is separate from the customer booking site.

Eligible administrators with a registered device and permission receive booking, inquiry and payment notifications linking to the relevant screen. Device and OS checks are necessary; this does not automatically notify every team member.

02

Find the view the moment needs.

Move from the overall schedule to each person’s day.

Display timed appointments in staff columns so it is clear who is assigned to each session.

03

Account for each person’s availability.

Manage team details, weekly hours and individual absences.

Set each team member’s working days and start/end times for availability calculations.

Add time off with a start date, end date and note, and remove it when plans change.

04

Connect each booking with its team.

Start from available capacity and let administrators handle exceptions.

Use configured staff requirements and service eligibility when deciding whether a slot can be offered.

Ask during setup about configuring service-specific staff eligibility and headcounts.

Surface overlapping appointments, off-duty assignments, eligibility and headcount mismatches for administrator review.

Email staff when they are added to a booking and when an assigned booking is cancelled.

Requires the studio’s email sending configuration.

Run an assignment backfill for existing bookings that still need a team, using available capacity.

05

Manage the studio’s booking capacity.

Reflect opening hours and closures in online availability.

QUESTIONS, ANSWERED.

A few things to know before you start.

Does online availability consider staff days off?

Yes. Online slot calculations consider working hours and recorded absences. Manual staff assignments can still be saved with warnings about conflicts or off-duty staff, so an administrator should review those warnings.

Can I block part of a day or only certain services?

Yes. Staff time off supports date ranges and partial-day times. Studio blocks can cover all or selected services, for a whole day or a specified time window.

Does adding a team member create a login account?

No. Team members are scheduling resources with working hours and assignments. Individual login accounts and detailed permission levels are managed separately from these staff records.
